This article explains how to create, edit and delete file templates used for communication in SEAtS.

File templates can be stored in SEAtS and used for email or SMS communication to Students — for manual sending or for sending via automated notifications as part of a workflow action.

Permissions

Access to the Templates tab is controlled by the permission File Template in the access profile area of the Admin Site.

Accessing File Templates

File Templates are accessible through the Admin Site by clicking on Settings and then File Template.

Add a New File Template

    • In the File Template area, click Add
    • Click Choose File to select a file from your computer, or build your own template within the HTML editor box
    • Enter the name you wish to use to identify the template in the Name field
    • Enter a Comment and a Title Template
    • Select a File Template Type from the list

    The options for File Template Type include: WorkflowEmail, SMS, ClassCancel, ClassMove, ClassMerge, ClassSwap, ImportSuccess, ImportFailed, ScheduleAbsence, ScheduleActivity, ExportSuccessNotifier, ScheduledActivityApprovalStatus, ResetPassword, ClassCancelSMS, ClassMoveSMS, ClassMergeSMS, ClassSwapSMS, GeneralEmail, ClassCancelStaff, ClassMoveStaff, ClassMergeStaff, ClassSwapStaff, LogInDifferentLocation.

    📝 Note: Template types marked with * may require additional SEAtS configuration or subscriptions.

    Upon selection of a File Template Type, merge fields will display in the pane on the right hand side. A Subject can be added alongside merge fields for Student Number, Full Name, and Preferred Name.

      • Add or edit the text of your message, clicking on the merge fields to insert them to your email/letter/SMS
      • Click Validate to check the format of your message
      • Click Save
      📝 Note: Where data does not exist in the system but has been added to the template, the field will remain blank in any correspondence sent.

      Edit a File Template

      Click into the template you wish to amend, make the required amendments, click Validate to ensure the format is correct, then click Save.

      Delete a File Template

      In the file template area, click the checkbox next to the template you wish to delete, then click Delete.
