Catalog Hierarchy: SEAtS uses a 5-level hierarchy — Faculty → School → Programme → Course → Module. Levels 2, 4 and 5 are mandatory. All names can be customised to your institution's terminology.

Tip: Use private key (SSH2) authentication for improved security. Recommended tools: WinSCP (Windows) or Fetch (Mac). Contact your project manager for server thumbprints.
🔐 SSO Setup
SEAtS supports Azure AD SSO so staff and students use their existing credentials. Your IT team will need to register the SEAtS app in Azure AD. Contact your project manager for the full setup guide and intro video.

Account Management
User accounts, access profiles, and permission groups in UAT and production.
Configuration
Lesson types, activity/absence types, workflows, contact groups, and notification templates.
Testing
Importing test files to UAT, testing logins and integrations, coordinating UAT.
Ongoing Maintenance
Rooms and device associations, custom fields, change requests, training coordination.
⚡ Workflows
Automate student engagement and attendance interventions.
Plan
Define what happens at each stage — reminder at 80%, warning at 70%, escalation at 60%.
Design
Use the visual workflow designer in Admin to map stages, rules, and communications.
Preview
Run in preview mode to see estimated emails and stage changes before executing.
Approve & Run
Set to Auto Approved, Approved, or Not Approved. Full audit trail included.

| Act As Attended | Marks the student as attended for classes in the activity date range — preventing unwarranted alerts. |
| Act As Blackout | Excludes absences during the activity period from workflow calculations entirely. |
| Trigger Email | Sends an automatic email to the student when this activity type is created. |
| Requires Approval | Activities must be approved by an administrator before they take effect. |
| Is Appointment | Makes this activity available as a meeting type in manual interventions. |
🖥️ Attendance Capture Devices
Physical and digital options for capturing student attendance.
Card Readers (ACDs)
Students swipe their campus card at wall-mounted readers. Up to 20 swipes/min. Mount 1–1.2m above floor level near main entrances. One reader per 100–150 students.
iBeacons (BLE)
Bluetooth beacons in teaching spaces. The SEAtS mobile app detects the beacon and registers attendance automatically — no swiping needed.
QR Codes
Generate a unique QR code per class. Students scan with the SEAtS mobile app. Ideal for flexible or off-campus teaching.
GPS Check-In
Students check in via GPS through the app. Geofencing can verify they're physically on campus when checking in.
🔒 Security & Data Protection
Least-privilege access control and full GDPR compliance built in.
Role-Based Access
Standard Users, Administrators, and Super Users. Permissions set at Faculty, School, Programme, Course, or individual student level.
Staff Security File
Access permissions are set by importing a Staff Security File via SFTP — including Staff ID, modules, and Super User status. Changes apply automatically.
GDPR Compliance
DPA templates for UK and Irish clients. Right to erasure is supported via the GDPR Student Delete feature.
Authentication
Your institution's SSO (e.g. Azure AD) controls who can log in. SEAtS controls what they can see once they're in.
