Overview
This guide explains how to add an Activity or Absence Type in SEAtS. Activity Types are used to track different kinds of interactions with students or different types of absences.
Instructions
Log into the Admin site. Click Settings on the menu ribbon. Select Activity Types. Click Add to create a new type. Enter a Name, configure the criteria (see below), and click Save.
Criteria Definitions
- Trigger Email: Sends a notification to the student when an activity/absence of this type is created.
- Act As Attended: Marks all scheduled classes within the activity/absence date range with an associated attendance status.
- Act As Blackout: Prevents missed classes during this activity type from affecting workflow calculations.
- Is Appointment: Makes this type available as a meeting option in Manual Interventions (CRM).
- Requires Approval: Requires staff approval in the Approvals section before the absence is confirmed.
- Mandatory Comments: Forces users to provide a comment when creating this type.
- Mandatory Attachments: Forces users to upload an attachment (e.g. a doctor's note) when applying this type.
- Activity Type: Choose whether this type is for Absences or Activities.
- Access Level: Controls who can see and use this type. Admin restricts to admin users; Student allows all users to see it.
- Associated Attendance Type: Sets the attendance status applied to scheduled classes within the date range (Marked As Attended, Marked As Late, Marked As Absent, or Authorised Absence).
