This guide explains how you can add a Custom Field or Form within the SEAtS Application.
Custom fields are used to provide additional data fields within the student record, to accommodate institutional information not covered by the standard data fields in SEAtS. Forms consisting of custom fields can be created and added to a tab on the Student Profile. Custom forms can also be configured as part of intervention cases, e.g. referral forms, to capture specific information.
Custom fields and forms are configured from the application or via file import.
Configuring via the UI
- Log into the Admin site
- Find Settings on the top row to access customisation fields
- To create a new custom field, select Add
- A new modal will display, allowing you to create the Custom field(s)
- Select the correct Entity Type from the drop-down list:
- Enter the Group Name — this will be displayed within the student record as the name of the tab
- Enter the custom field Name
- Enter the Data Type
- Add data Options
- Select the Sensitivity Type — Sensitivity Types can be applied to restrict access to the data within the field
- Click Save
Access to Custom Fields is controlled by two permissions: Access to the Settings page, and a separate permission to manage and/or create custom fields within Settings.
- Student entity will place the custom field in a tab within the student record - Student / Engagement will place the custom field within the student record, but allow the contents to be used by the SEAtS Engage tool - Manual Intervention Step will make the custom form available as a step within a case, e.g. a referral form
Tip: Multiple choice answers can be populated for a user to select. To set up multiple choice values, insert a comma first, followed by the desired values separated by a comma. Example: ,1,2,3,4 — this will display as a dropdown selection.
Configuring via File Import
Custom fields can be partially configured via import. However, the Custom Field Group and Field Names must be configured in the Admin Site in the first instance. Field values will be imported via the file import.
